The problem

Onboarding a new hire touches HR, the hiring manager, IT, payroll and facilities. The checklist lives in someone's head or a spreadsheet, requests go out by email, and slow steps like background checks, equipment orders and account setup are only noticed when they are already late. New hires feel it on day one.

How the agent works

When an offer is marked accepted in your HRIS or ATS, the agent builds a checklist for that hire from a template for their role, location and start date. It creates a task for each owner (manager, IT, payroll, facilities), sends the new hire a welcome note and the forms they need to complete, and checks every day what is done, what is waiting, and what will be late. It sends reminders to owners and gives HR a short status summary. It never grants system access, changes pay, or makes employment decisions itself; those steps are handed to a named person and the agent records when they are done.

Setup steps
  1. Write one onboarding template per role type: every task, its owner, and when it is due relative to the start date
  2. Choose the trigger: an offer marked accepted in your ATS or a new record in your HRIS
  3. Connect the agent to your task tool or HR system so it can create and update tasks, and to email or chat for reminders
  4. Give the agent read access only to the fields it needs (name, role, manager, start date, location), not compensation or personal documents
  5. Set the reminder rules: when to nudge an owner, when to escalate to HR, and when to tell the manager
  6. Route access requests to IT as tickets instead of letting the agent provision accounts (see the IT access request playbook)
  7. Run it in draft mode for the first few hires: the agent proposes tasks and messages, HR sends them
  8. Review each finished onboarding with HR and the manager and update the template

Human in the loop

HR approves the checklist for each hire before tasks go out, and reviews any message sent to the new hire until the drafts are reliably right. IT or the system owner grants every account. Anything that touches pay, contracts, immigration or policy exceptions goes to HR, never the agent. If a step is late close to the start date, a person decides what to do.

Risks and guardrails

Onboarding data is sensitive employee data, so limit fields, keep it in systems your company already approves, and check your privacy obligations for each country you hire in. A task marked as requested is not the same as done: have the agent confirm completion with the owner instead of assuming it. Watch for duplicate tasks when an offer is edited or a start date moves. Templates go stale, so have one person own them.

ROI notes

Track your own baseline before and after: how many tasks are still open on the start date, how often a new hire starts without equipment or accounts, and how much HR time goes into chasing owners. The main gain is fewer missed steps and less chasing, not fewer HR decisions.

Also useful: IT access request agent; summarize applicants before you hire.
