The problem

Once a recruiter decides to move an applicant forward, scheduling a phone screen or panel interview turns into days of email ping-pong across candidate time zones, busy hiring managers, and shifting calendars. Slow scheduling loses strong candidates to faster-moving companies and eats hours of recruiting coordinator time every week.

How the agent works

Triggered only when a human recruiter moves a candidate to an interview stage in the ATS, the agent checks the assigned interviewers' calendar availability and working-hours rules, drafts or sends an invitation with a booking link or three time options in the candidate's time zone, and books the video call once the candidate picks a slot. It attaches the role's structured interview rubric for the interviewer, sends the candidate a clear confirmation with who they will meet and the format, and handles routine reschedule requests within the rules you set.

Setup steps
  1. Set the trigger so the agent acts only after a human recruiter advances a candidate to an interview stage in your ATS
  2. Define interview templates per stage: duration, eligible interviewers, required buffers, max interviews per day per person, and video-call link setup
  3. Connect the agent to interviewer calendars and your ATS scheduling or booking tool
  4. Write the candidate email and confirmation templates, including interview format, who they are meeting, and how to ask for accommodations
  5. Have the agent propose slots or send a stage-specific booking link, then create the calendar invite and ATS record once the candidate chooses
  6. Route reschedule requests, accommodation requests, or panel conflicts that have no open slots within five business days to the recruiter

Human in the loop

A recruiter or hiring manager always decides who gets an interview and who advances afterward; the agent only coordinates calendar logistics after that decision. Accommodation requests, executive loops, and last-minute cancellations go to a person.

Risks and guardrails

Never let an agent auto-reject a candidate because calendars did not line up or because they asked to reschedule. Keep private internal notes and scorecards out of the calendar invite description that the candidate can see. Double-check time-zone conversion when candidates and interviewers are in different regions.

ROI notes

Track time from stage-advance in the ATS to a confirmed interview on the calendar, candidate drop-off during scheduling, and recruiter hours spent on calendar emails each week.

Also useful: summarize applicants against role criteria first; coordinate new-hire onboarding after an offer is signed; schedule external meetings over email.
