The problem

Leads from portals, your website and open-house sign-ins arrive at all hours, often while you are showing a property. The ones who wait for a reply move on to another agent, and the leads that do get answered are logged in scattered places, so follow-up slips.

How the agent works

When a new lead email or form arrives, the agent reads it, pulls the listing it refers to, and drafts a reply in your voice that answers the factual question from your listing data, asks one or two qualifying questions (timeline, financing, must-haves), and offers showing times from your calendar. It logs the lead in your CRM or a sheet with a hot, warm or cold label and a next step. Every evening it sends you a summary of new leads, drafts waiting for you, and showings requested. It works from verified listing facts only and does not discuss price strategy, give legal advice or describe neighborhoods in terms of who lives there.

Setup steps
  1. Pick one inbox or form tool where all leads land, and label or forward lead emails to it
  2. Give the agent your listing data (address, price, beds, baths, features, status) from an approved source
  3. Write a short voice and rules file: how you sign off, what you never say, and when a lead goes straight to you
  4. Connect your calendar and set the showing windows you are willing to offer
  5. Have it save replies as drafts and log each lead in your CRM or a Google Sheet
  6. Review the drafts on your phone and send them yourself for the first weeks
  7. Add a nurture sequence for leads that go quiet, also as drafts you approve

Human in the loop

You approve replies before they send until you trust them, and you confirm every showing. Pricing, offers, negotiation, contracts and anything legal stay with you or your broker. Any lead who asks for a call or seems ready to act is flagged for you to contact personally.

Risks and guardrails

Listing copy and replies must follow fair-housing rules: no descriptions of who a home is perfect for, no comments on schools or the people in a neighborhood, and no steering. The agent must not invent features, so it should quote only your listing data. Texting or calling leads can require prior consent under US telemarketing rules, so only message people who contacted you or opted in, and never bulk-text old lists. Check your MLS and brokerage rules too. This is not legal advice.

ROI notes

Track your own baseline: how long a new lead waits for a first reply, how many leads get no follow-up at all, and how many showings come from each lead source. The gain is speed and consistency on every lead, while the relationship and every decision stay with you.

Also useful: qualify and route inbound leads; keep CRM records clean.
