The problem

Small businesses and freelancers send invoices and then forget to follow up, or put it off because chasing clients is awkward. Reminders go out late or inconsistently, nobody notices when a customer has quietly disputed an invoice, and cash comes in later than it should.

How the agent works

Each morning the agent pulls open invoices from your accounting system and groups them by how many days past due they are. For each one it checks the account's history (usual payment habits, earlier reminders, open emails) and drafts the right next message: a friendly nudge just after the due date, a firmer follow-up later, then a note that the account is being escalated. If a reply looks like a dispute, a complaint or a request for more time, it stops reminding and hands the thread to a person. It re-checks payment status right before sending so nobody is chased for an invoice they already paid.

Setup steps
  1. Export or connect your open invoices with due dates, amounts, customer contacts and payment status
  2. Write your reminder ladder: the message at each stage, its tone, and the point where a person takes over
  3. Write short rules for special accounts: key customers, customers on payment plans, and anyone you never auto-remind
  4. Have the agent draft each day's reminders into a review queue instead of sending
  5. Add dispute detection: replies that question the amount, the work, or ask for a plan go straight to you
  6. Make it re-check the invoice status in the accounting system just before any send
  7. After a few weeks of approving drafts, allow first-stage nudges to send automatically and keep later stages manual

Human in the loop

You approve every reminder until the drafts are consistently right, and later stages always stay manual. Payment plans, discounts, late fees, write-offs and any threat of collections or legal action are your decision, never the agent's. Disputes always go to a person.

Risks and guardrails

Reminding a customer who already paid, or who has a valid dispute, damages the relationship, so sync payment status right before sending and stop on any reply. Keep the tone professional and never misstate amounts or consequences. Rules on collection communications vary by country and state, especially once a third-party collector is involved; get advice if you are unsure. Send from your own business address so replies reach you.

ROI notes

Track your own numbers before and after: how many invoices are past due at each stage, how long invoices take to get paid, and how much time you spend writing reminders. The benefit is consistent, polite follow-up that actually happens, not guaranteed faster payment.

Also useful: extract invoice data into your accounting system; reconcile payments against your books.
